Leads
Finding businesses to contact, collecting their details, and writing to them.

Where leads come from
Four sources become one record.
Leads come from four places: people who texted the number in your ad, businesses listed on Google Maps (the Google Places listings), the state licence board, and each business’s own website. Never a bought list, because sending to bought lists gets phone numbers and email addresses blocked.
The ad
texted in from the Meta ad, 2:18 PMSomeone texts the number shown in your ad, and becomes a lead.
Google Places
roofers near Phoenix, 4.5★ and upRoofers near Phoenix rated 4.5 stars with no after-hours phone line, found overnight.
Licence board
ROC 3318 · active · 2009The state licence board shows which businesses hold an active licence, and since when.
Website crawl
brightroofing.example · 3 crew · no after-hours lineReading each business’s website shows how big the crew is and whether anyone answers the phone after 5 pm.
The record
Each lead becomes one row in a spreadsheet.
The details from all four sources are added in bulk, and each lead is scored by a rule you set. The result stays in the spreadsheet, so you can check it later.

Examples
- 1The four sources are combined into one record: the owner’s name, the phone number, the licence and the reason to contact them.
- 2You set the scoring rule, so a score of “call today” means what you decided it means.
- 3Every row is in a spreadsheet you own.

The first message
The first message is drafted from the record.
The AI writes the first message from the record, the way you write, about a problem that business actually has. You approve the writing style once; after that it drafts each message.
First message · drafted from the recordiMessage · your number
Hi Dana, saw your crew on the Mesa job1. Missed calls after 52 are costing you work; we answer them from your own number in 60 seconds. Worth 15 minutes?
From the record, in your voice, about their actual problem.
- 1It mentions the Mesa job because the business’s website listed it.
- 2It mentions missed calls after 5 pm because the website lists no after-hours number.
- It sends only on the channels you allowed.

How the message is sent
Then it goes out on the channel they'll answer.
iMessage from your number. Email, tracked. WhatsApp, warm only.
Delivered · Read 2:19 PM
iMessage from your number
Sent from your own number as an iMessage (a blue bubble on iPhones). It arrives in a conversation they can reply to at any time, and the reply goes to your AI assistant.
Examples
- 1The first message arrives as an ordinary text from your number.
- 2Read receipts show whether it was read, and the follow-up timing uses that.
- 3When they reply with a time, the AI assistant books it.
Email tracked
Sent with open tracking: you see when it was opened, and the follow-up timing uses that.
Examples
- 1“Opened at 8:41” is recorded and used to time the next message.
- 2The same wording as the text, plus a longer version.
- 3Bounced addresses and unsubscribes are removed from sending immediately.

WhatsApp warm only
Used only to follow up: a WhatsApp message goes out only after the person has replied on another channel, never as a first message to a stranger. Numbers that send unrequested messages get restricted, so this rule keeps the number working.
Examples
- 1Customers in other countries get replies in their own language.
- 2The same AI assistant and the same permissions, inside WhatsApp.
- 3If the person has not written to you first, the message is refused and not sent.
An illustration. The business and the person are made up.
Follow-ups
And follows up until they answer.
Follow-up messages on day 2, day 5 and day 10, each with something useful to say.

- 5
Day 5
Day 5 sends a one-line example of a similar business.
- 10
Day 10
Day 10 says a polite goodbye and marks the lead closed.
They stop as soon as the person answers.
The reply
The reply comes to your number, and the AI assistant answers it and books the time.
When the lead replies
The reply comes to your number. The AI assistant books the time, the follow-ups stop, the lead’s row is updated, and you get a one-line summary.
Examples
- 1“2:30 works” becomes a calendar event, and the invite is sent.
- 2The follow-up messages stop.
- 3The Ledger entry shows who said what, and when.

The limits
The rules it runs under.
No purchased lists
Records come from the ad, Places, the licence board and the site. Nothing bought.
WhatsApp is warm only
It goes out after someone has replied somewhere, never as a cold first touch.
Until they answer, never after
Day 2, 5 and 10. The follow-ups stop the moment they reply.
Every message is recorded
What went out, on which channel, and what came back, as entries in the Ledger.
